What we collect

Information you give us

‍ ‍

When you submit an enquiry form on this site, we collect:

  • Your first and last name

  • Your email address

  • Your business name

  • Which services you are interested in

  • Your project timeline and budget, if you tell us

  • How you heard about us

  • Anything you write in the message field

We only collect this because you chose to send it. You do not have to fill in a form to browse the site.

Information collected automatically

When you visit the site, the following is recorded without you entering anything:

  • Your IP address and approximate location, usually to city level

  • Your device type, operating system and browser

  • Which pages you viewed, in what order, and how long you stayed

  • The site or search that sent you here

  • The date and time of your visit

This comes from cookies and similar technologies. It is collected in aggregate to tell us how the site is being used. We do not use it to identify you by name.

Cookies and tracking ‍

We use cookies and tracking scripts from the following providers.

‍ ‍

Squarespace hosts this website, processes the enquiry forms, and provides basic visitor analytics. Some Squarespace cookies are strictly necessary for the site to function and cannot be turned off.

‍ ‍

Google Analytics 4 measures how people find and use the site. It sets cookies that record pages viewed, session length and traffic source.

‍ ‍

Google Ads records whether a visit followed from one of our advertisements, so we can tell which advertising works.

‍ ‍

Meta Pixel does the same for advertising on Facebook and Instagram, and allows us to show ads to people who have visited this site.

‍ ‍

When you first arrive, you will see a cookie banner. You can accept all cookies, decline all non-essential cookies, or use "Manage cookies" to choose. Declining does not stop you using the site. You can also block or delete cookies through your browser settings, and you can install the Google Analytics Opt-out Browser Add-on at tools.google.com/dlpage/gaoptout.

Each of these providers has its own privacy policy governing what they do with the data once it reaches them. We recommend reading them if that matters to you.

Why we collect it

We use the information for these purposes and no others:

  • To respond to your enquiry and quote on work

  • To provide services you have engaged us for

  • To understand how the site is used so we can improve it

  • To measure whether our advertising is working

  • To send you information you have specifically asked for

  • To meet our legal and tax obligations

We do not sell your personal information to anyone. We do not share your enquiry with other businesses for marketing purposes.

Who else can see it

Your information is shared with the service providers we use to run the business. These currently include Squarespace, Google and Meta, as described above, along with the email, accounting and project management tools we use internally. These providers can only use the information to provide their service to us.

We may also disclose information where the law requires it.

‍ ‍

Information held overseas ‍

Squarespace, Google and Meta are based in the United States and store data on servers outside New Zealand. This means your information may be held in, or accessed from, countries with different privacy laws to ours.

‍ ‍

We rely on these providers' own privacy commitments, which they publish, to protect information they hold on our behalf. If you would rather your information was not handled this way, do not submit a form on this site. Contact us by phone instead.

‍ ‍

How long we keep it ‍

Enquiry form submissions are kept for as long as there is a reasonable prospect of working together, and then for a further two years in case you come back to us. If you become a client, we keep your records for seven years after the engagement ends to meet tax and legal requirements.

Analytics data is kept according to the retention settings in each platform, currently up to 14 months for Google Analytics.

You can ask us to delete your information sooner. See below.

Your rights ‍

Under the Privacy Act 2020 you have the right to: ‍

  • Ask what personal information we hold about you

  • Ask for a copy of it

  • Ask us to correct anything wrong

  • Ask us to delete it, where we are not required to keep it

Email admin@entropic-digital.com and we will respond within 20 working days, which is the timeframe the Act requires. We may ask you to confirm your identity first. There is no charge for a reasonable request.

Security ‍

We use reputable hosted platforms with their own security controls, restrict access to client information to the people who need it, and use multi-factor authentication where it is available.

No method of transmitting information over the internet is completely secure. We cannot guarantee absolute security, and we will not claim otherwise.

‍ ‍

Children ‍

This site is aimed at businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16.
